What we ask you for

Only through forms you choose to fill in. We do not ask you to create an account and there is nothing to log in to.

When you book a tour

Your name, your WhatsApp number with country code, your email address, your country, the tour and date you want, the time slot, how many of you there are, your hotel address in Hanoi, and anything you write in the “Other request” box.

We ask for the hotel address only so that your guide can meet you there or agree a nearby landmark with you.

When you apply to join the club

On our Vietnamese-language pages, young Hanoians who want to volunteer give their name, email address, phone number and the course they are interested in.

When you message us

Whatever you choose to write, on WhatsApp or by email, along with your number or address so that we can reply.

When you simply read the site

Google Analytics records visits in order to tell us how many people read which page, and which country they are in. We use it for traffic only. There is no advertising pixel on this site and no Facebook Pixel.

Who sees it, and where it is kept

Who sees your booking
Our coordinator, and the one guide assigned to your tour

Who sees the website statistics
Senior administrators only, and only as totals

Where the website is hosted
In Vietnam

Where a copy of each booking goes
Our Gmail inbox, so Google also handles it

Sold or given to advertisers
Never

How long we keep it
12 months after your tour, then deleted

Your booking details are stored on this website, which is hosted in Vietnam, and a copy of each booking is sent to our Gmail address so that we see it quickly. That means Google processes a copy on its own servers, which are outside Vietnam. If you would rather we did not keep an emailed copy, say so when you book and we will delete it once your tour is over.

Inside the club, the only people who see your details are the coordinator who arranges tours and the single guide who is matched with you. Other members do not have access. Nobody outside the club is given your details, and we never sell them.

Cookies and other companies

Some parts of this site are provided by other companies. When your browser loads them, those companies can set their own cookies, which we do not control and cannot read.

Google Analytics

Tells us how many people read each page and which country they are in. We use it for traffic figures only, not for advertising.

Google Maps

The map of our office is loaded from Google. Opening a page with a map on it means Google sees that request.

Facebook page plugin

Our Facebook feed is shown at the foot of the site and is loaded from Meta. There is no Facebook Pixel and we do not run Facebook advertising from this site.

WhatsApp

If you message us on WhatsApp, the message is carried by Meta under their terms, the same as any other WhatsApp conversation.

Links on this site to TripAdvisor, GetYourGuide, our partners and efis.edu.vn take you to sites we do not run. Once you are there, their own privacy policies apply, not this one.

Your rights, and how to use them

Vietnam’s Law on Personal Data Protection has been in force since 1 January 2026. Under it you can ask to know what we hold, to see it, to have it corrected, and to have it deleted. You can also withdraw your consent at any time.

  1. Write to hanoifreeprivatetourguide@gmail.com and say which of the above you want. Use the same email address or phone number you gave us, so that we can tell it is you.
  2. We reply within 30 days, usually much sooner, and tell you what we found and what we did.
  3. Nothing changes about your tour. Asking us to delete your details does not affect a booking you still want, and we will say so if deleting something would mean we can no longer run your tour.

Children

This site is written for adults planning a trip. We do not knowingly collect details from anyone under 16. If you believe a child has sent us their details, write to us and we will delete them.

If we change this policy we will change the date at the top of the page. If a change affects how we use details you have already given us, we will tell you by email before it takes effect.
